Soft Facilities Management

The human experience of your facility.

Soft FM — also called Soft Services or Support Services — refers to all people-focused facility services. Unlike Hard FM which keeps the building's physical systems running, Soft FM directly impacts how people feel about and interact with your facility every day.

Access Grid manages Soft FM services with the same rigour as Hard FM — clear SLAs, daily quality checks, supervisor inspections, and monthly KPI reporting. A clean, well-maintained, pest-free facility is not a luxury. It is a business requirement.

  • Daily quality inspections — not monthly, not on request
  • Supervisor sign-off on every service visit
  • Monthly KPI reports to client management
  • Right-sized teams based on actual facility usage
  • Single-vendor accountability for all Soft FM services

Quality Management

Soft FM is only as good as the quality system behind it.

The most common failure in Soft FM is the absence of a quality management system. Without daily checklists, supervisor inspections, and monthly reporting, service quality drifts — and clients only notice when it has deteriorated significantly. Access Grid applies the PDCA cycle to every Soft FM service.

P

Plan

Set clear quality standards for every service at contract commencement. Define inspection criteria, frequency, and KPI targets agreed with client management.

D

Do

Deliver the service. Daily checklists completed on every service visit. Supervisor sign-off required for each completion. Photographic evidence maintained.

C

Check

Random and scheduled quality inspections by supervisors. Monthly quality reports with inspection scores and corrective action records to client management.

A

Act

Annual programme reviews identify improvement opportunities. Service model revised based on KPI trends, client feedback, and facility changes. Quality raised over time.

Common Questions

Soft FM explained.

What is the difference between Hard FM and Soft FM?+
Hard FM covers physical building systems — MEP, HVAC, fire systems, and building fabric — the engineering infrastructure that keeps a building operational. Soft FM covers people-focused support services — cleaning, landscaping, pest control, waste management, and security — the services that directly impact how occupants experience a facility. Both are components of Integrated Facilities Management (IFM). Access Grid delivers both under one integrated programme with a single SLA framework and one point of accountability.
How does Access Grid right-size Soft FM teams rather than just reducing headcount?+
Right-sizing starts with a facility usage analysis — mapping traffic flow, occupancy patterns, activity areas, and operational hours. We then design the Soft FM programme around actual need rather than generic headcount benchmarks. At DHL Supply Chain, we restructured a 22-person cleaning team to 11 by implementing a shared responsibility model — operational teams took ownership of their immediate work areas, supported by professional cleaners for common areas and specialist tasks. Hygiene standards were maintained and independently verified. The key is designing the service model intelligently, not simply cutting resources.
Can Access Grid manage pest control and waste management in addition to cleaning and landscaping?+
Yes. Access Grid manages all five Soft FM service categories — cleaning, landscaping, pest control, waste management, and security coordination — under one integrated programme. Having one FM partner manage all Soft FM services eliminates the coordination overhead of multiple vendors, ensures consistent quality standards across all services, and allows Access Grid to identify synergies that reduce total Soft FM cost.
How are Soft FM performance standards maintained over time?+
Through a structured quality management system applying the PDCA cycle. We set clear quality standards for every service at contract commencement. Daily checklists are completed on every service visit. Supervisors conduct random and scheduled quality inspections. Monthly quality reports with inspection scores and corrective action records are provided to client management. Annual programme reviews identify improvement opportunities. This continuous improvement approach ensures Soft FM quality is maintained and enhanced over the contract term — not allowed to drift.
